Who these terms cover

These terms apply to every quote issued by Mindmap IT Solutions (“Mindmap”, “we”) and every project accepted by a client (“you”). By agreeing a written scope and completing payment you accept these terms, the Privacy Policy and the Refund and Cancellation Policy.

Quotes and scope

Every project begins with a written scope that lists the deliverables, the expected timeline, what you need to provide, and one total price with its currency (CAD or USD). Anything not written in the scope is not included. Changes requested after agreement are quoted separately and, if accepted, added to the scope in writing. Quotes are valid for 30 days from the date issued.

Payment

Once the scope is agreed, a secure Stripe payment link is sent by email. Projects are paid in full before development begins unless the scope states a different schedule for a larger build. Card details are handled by Stripe and are not stored by Mindmap. Invoicing is available in CAD or USD based on client preference. Applicable taxes are shown on the quote and the Stripe payment page.

When work begins and what you provide

Development begins after payment and the required project materials and access listed in the scope are received. You are responsible for supplying content, images, brand files and account access that you have the right to use, and for responding to review requests. Delays in supplying materials move the timeline by at least the same amount.

Timelines

Standard website projects target delivery within 24–48 hours after payment and required project materials are received. Larger or more complex builds follow the timeline agreed in the project scope. Timelines are targets that depend on your materials arriving and on third-party services outside our control; they are not guarantees, and missing a target does not by itself entitle you to a refund.

Review, revisions and approval

Work is presented for review, on a staging link where applicable. The number of revision rounds included is stated in the scope; revisions must stay within the agreed scope. A project is complete when you approve it in writing, or when 10 days pass after delivery without any written request for changes.

Delivery and ownership

At completion we hand over the final work, relevant credentials and source files listed in the scope. Full ownership of the agreed deliverables transfers to you once the project is complete and paid in full. Third-party components (themes, plugins, fonts, stock images) stay under their own licences, which the scope identifies where they apply.

Third-party services and costs

Hosting, domains, premium themes and plugins, payment gateways, advertising platforms and similar services are purchased in your name and paid by you directly. They are not included in our price unless the scope says so, and their fees, uptime and terms are set by the provider, not by Mindmap.

Defect correction

Every project includes 30 days of defect correction from the date of delivery. A defect is something in the delivered work that does not function as described in the scope. Defect correction is a warranty on our work; it does not cover new features, changes of mind, content edits, third-party updates, or problems caused by changes made by you or another provider after delivery.

Cancellation and refunds

Cancellation and refund rules are set out in the Refund and Cancellation Policy, which forms part of these terms.

Your content and licences

You confirm that the text, images, logos and other material you supply are yours or licensed to you, and that our use of them for your project does not infringe anyone's rights. You are responsible for the accuracy and legality of the content published on your site.

Liability

Mindmap's total liability for any claim relating to a project is limited to the amount you paid for that project. We are not liable for indirect losses such as lost profit, lost data caused by third-party services, or downtime of services we do not operate. Nothing in these terms limits liability that cannot be limited by law.

Governing law

These terms are governed by the laws of the Province of Ontario, Canada. Any dispute will be brought before the courts of that jurisdiction unless the law of your place of residence provides otherwise.
