Privacy Policy

What we collect

When you send an enquiry or request a quote we collect the details you enter: your name, email address, phone number if given, company name if given, the service you are interested in and your message. During a project we also hold the materials, content and account access you provide for the work. Our hosting provider records standard server logs, including IP addresses, for security.

How we use it

We use your details to reply to you, prepare a quote, deliver the project, send the payment link and receipts, and provide defect correction. We do not sell or rent personal information, and we do not send marketing email unless you have asked for it.

Payments

Payments are taken through our payment provider. When you pay, our payment provider collects your card details directly on its own pages and processes the payment under its own privacy policy. Mindmap receives confirmation of payment, the name and email address on the payment and the last four digits of the card. Card details are entered on the payment provider’s own secure page and are never stored by Mindmap.

Who we share it with

We share information only with the services needed to run the business and deliver your project: our email and hosting providers, our payment provider, and any third-party platform you have asked us to set up in your name. Each provider processes data under its own terms. We disclose information where the law requires it.

How long we keep it

Enquiries are kept for as long as needed to respond and for a reasonable period afterwards in case you return. Project records, quotes and payment confirmations are kept for the period required by tax and accounting rules. Account access you provide for a project is removed from our records at hand-over unless you ask us to keep it for defect correction.

Cookies

This website uses only the cookies required for it to function. It does not use advertising cookies. If analytics are added in future, this policy will be updated first and only privacy-respecting, cookie-free or consent-based analytics will be used.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we do not need to keep it for legal or accounting reasons. Email info@mindmapitsolutions.com and we respond within 30 days. Canadian federal privacy law (PIPEDA) and applicable provincial and US state laws may give you further rights, which we honour.

Security

Access to project information is limited to the people working on your project. Website connections use HTTPS. Account credentials you send us should be shared through a password manager or a temporary login rather than plain email, and we recommend changing shared passwords after hand-over.
